  Program Administrative Assistant

Salary Range
$28,000- $35,000
Training and Requirements
Associate Degree in medical billing or business is preferred, or a High School Diploma with 2-3 years of computer data entry/billing experience. 
Overall Mission
To utilize skills and knowledge related to administrative processes to help AIDS Alabama assist people with HIV/AIDS statewide to live the most independent and productive lives possible and to prevent the spread of the disease.

Job Specific

All AIDS Alabama staff/volunteers and interns/externs are expected to follow all agency policies and procedures including completion of all required training per program site.

Areas of Responsibility

  1. Assists the Clinical Director in ensuring all State and City HOPWA application documentation is done correctly, submitted for payments and filed up to date.
  2. Assists with gathering charts and data for HUD and Ryan White Audits.
  3. Assists the Data Base Administrative Coordinator in implementing the agency wide data base and establishment of an electronic Health Record.
  4. Helps with HMIS data input as needed for data base implementation
  5. Follows up on all main office consumer calls, does needs assessment screening, and makes appointment for all main office social workers.
  6. Assists Clinical Director and PI Director in preparation for and conduction of DMH Survey certification visits.
  7. Assists Clinical Director in monitoring proper billing processes for all revenue streams.
  8. Other Duties as assigned.

Represent the agency on the phone, through the mail, and in person in a way that reflects the agency’s mission. Abide by the Policies and Procedures Manuals (Personnel, Programs, Finance, Operational, and Housing) as presented and as adapted.  Be aware that breach of confidentiality is grounds for dismissal.  Establish a strong, solid communication with the Clinical Director, Executive Director, and Chief Executive Officer.  All personnel policies are expected to be adhered to and all employees are expected to perform in a mature, professional, businesslike manner.  This job description can be modified to reflect additional tasks.
